Soul of Sonoma on the Vineyard 2023 Vendor Information & Guidelines

 VENDOR INFO LETTER

Welcome to the 2023 Soul of Sonoma on the Vineyard which will take place Saturday, August 12, 2023, and thank you for your interest in being a vendor! Thank you for reading through this vendor info letter before submitting your payment. This year’s venue in Edgartown can accommodate about 250 guests, and we welcome vendors who provide quality handmade or unique, creative products preferably made by artisans and makers. 

We reserve the right to accept or deny any vendor applications. We suggest you apply early as we only accept a limited number of vendors. Vendors will be notified of acceptance on a rolling basis via email. If you are accepted, we will email you, and then include a link with payment instructions. Additional information will be emailed to you upon payment, including placement of your booth.

BOOTH REQUIREMENTS

The community of vendors at Soul of Sonoma on the Vineyard contributes to the overall atmosphere of the event. Therefore, we will determine selection and placement of vendors in a manner conducive to the attendee’s experience. When planning, please consider the following:

  • You may arrive to set up your vendor area on the day of the event at noon.

  • Booths must be completely set up by 2:00 p.m. No exceptions.

  • We Supply:

    • 1- 8' draped table

  • Vendors requiring larger space must be approved by vendor coordinator and there will be an increase in the vendor fee. Please email special requests with written plans to inquiries@soulofsonoma.com

  • If needed vendors are required to supply their own electrical power. We have very limited access to electrical outlets. Please include a special request if you need power.

  • Prep areas are provided behind each vendor area and vary in size depending on location.

  • You are responsible for supervising your booth during ALL festival hours.

  • Vendors are accountable for setting up, furnishing, maintaining, lighting, and breaking down their respective booths. All food, merchandise, trash, recyclables, wooden pallets, furnishings, lighting, and all other equipment must be removed from the area by 9:00 p.m., on the date of the event.

  • Vendor locations will be inspected for cleanliness upon departure. Your booth area should be as clean or cleaner than when you arrived including removal of all micro-trash in your booth area.

  • Read the Vendor Info Letter and Booth Requirements carefully

  • Email inquiries@soulofsonoma.com with a detailed product descriptions and website address to view product

  • You will receive an approval email which will include a link to payment instructions

  • If not approved you will receive an explanation via email, and other suggestions on how we might support your business

2023 Soul of Sonoma on the Vineyard Onsite Vendor Agreemenet

Upon acceptance as a vendor, I agree to the following:

  1. To read, understand, and follow the Vendor Info Letter.

  2. Vendor agrees to comply with all federal, state, county, and city laws.

  3. Vendor agrees to supervise his/her booth during all event hours.

  4. Vendor agrees to sell only what is listed in their general product description.

  5. Vendor agrees to anticipate sales and have sufficient quantities of product on hand. Attendance will be about 250 attendees this year.

  6. Food vendors may sell non-alcoholic beverages only.

  7. Vendors must have booths completely set up by 2:00 p.m. Vendors must remove booths by 8:30 p.m.

  8. Any lack of courtesy, good will, and respect toward attendees or staff could result in termination of this agreement, loss of your deposit, and eviction from Soul of Sonoma on the Vineyard

  9. That this agreement, if accepted (acknowledgement required at time of payment), will serve as a contract and any legal fees incurred by anyone because of this contract will be paid for by the losing party.

ACKNOWLEDGEMENT (Acknowledged at time of payment)

I have thoroughly read the letter and guidelines for Soul of Sonoma on the Vineyard Onsite Vendors and agree to comply with all the terms, and to abide by the liability disclaimer. I will maintain a neat and attractive designated area, and will be responsible for cleaning my area thoroughly after I close.

LIABILITY DISCLAIMER (Acknowledged at time of payment)

I accept and assume full liability for any injury or loss to property, my agents, employees or me at any time and from any cause on the premises of the event. I expressly release Soul of Sonoma, its employees, board, and volunteers, and the host town, from any liability for such loss, injury or accident, and agree to provide and pay for my own insurance.
